How to track your government filing.

How to track your government filing on Docufy: where your filing sits, what each status means, how the target time works and how anyone can check the PDF.

Filing a government document in Nigeria the old way means little visibility — you hand papers to a tout or an office and hope. On Docufy you see each step of your filing as it is logged, with its date and time. This guide explains the statuses your filing moves through, what each one means, and what to do if it sits longer than expected.

Where to find your filings

Every filing you start lives in your account. Sign in and open your filings — each card shows the document, the agency, the current status and how far along it is. Tap any filing to see its full timeline, your receipt and any documents already delivered.

We also email you at key steps: when you pay, when something needs fixing and when your document is ready. You do not need to call anyone to find out where it is.

What each status means

Every filing moves through the same steps. These are the labels you see in the app:

  • Draft — only you can see it. Nothing is filed and nothing is charged until you pay.
  • Submitted / Waiting for payment — we have your details. Next: payment.
  • Paid — payment confirmed, and your itemised receipt is sent to your email.
  • Under review — the partner firm is reviewing your form and documents before filing.
  • Needs your fix — the partner firm needs something from you. We email you, the note says what to change, and you send it back from your phone.
  • Filed with agency — the partner firm has submitted it to the agency. The agency now sets the pace.
  • Issued — the agency has issued your document.
  • Delivered — your PDF is in your vault with a verify link.

Reading the target time

Each document shows a target time in business days before you start. The count starts when your payment is confirmed, and it runs in business days, not calendar days. It is a target: the agency sets the final pace. From the filing, you can add the target date to your calendar.

The partner firm follows up with the agency, and you see each step as it is logged. If the partner firm or the agency is still working on it two days before the target date, we email you. For a specific question, email [email protected] with your filing reference.

For the government's own deadlines, such as monthly VAT returns and yearly tender certificates, use the compliance deadline calendar.

What "needs attention" means and how to clear it

"Needs your fix" is the one status that waits on you. The partner firm has found something it needs — a clearer scan, a missing receipt, a corrected detail — and the note on your filing says exactly what. Fix it on your phone and send it back. You do not start again.

This is also a common reason a filing looks "stuck." Check for a needs-attention note before assuming a delay is on the agency.

Checking the finished document

When a filing is delivered, your document lands in your vault as a PDF with a verify link, and the file is stored encrypted. Anyone you send the link to — a bank, a supplier, a procuring entity — can open it on the verify page without an account and see when the document was delivered through Docufy and its SHA-256 fingerprint. If their copy gives the same fingerprint, it has not changed since delivery. The check does not replace confirming with the agency that issued the document.

Tracking on the agency side

For some filings you can also confirm on the agency's own public record — for example, a company's details show on the CAC public search on icrp.cac.gov.ng once the CAC has processed the filing, and a NIN status can be checked directly. Where an independent public check exists, the relevant guide for that document links to it. See, for instance, the guide on checking your NIN status online.

Questions

Frequently asked.

How do I check the status of my filing?

Sign in and open your filings. Each filing shows its current status, and tapping it shows the full timeline, with the date and time of each step. We also email you when you pay, when something needs fixing and when your document is ready.

My filing has not moved in days. What do I do?

First check whether it says "Needs your fix" — that status is waiting on something from you, and the note says what. Otherwise the partner firm is following up with the agency, which sets the final pace. If it is still with the partner firm or the agency two days before the target date, we email you. For a specific question, email [email protected] with your filing reference.

Does the target time count weekends?

No. The target time is in business days, and it counts from when your payment is confirmed. It is a target: the agency sets the final pace.

How does someone check the finished document?

Every delivered document comes with a verify link. Anyone can open it without an account and see when the document was delivered through Docufy and its SHA-256 fingerprint. It confirms the file is the one delivered through Docufy; it does not replace checking with the agency that issued it.

Can I track the document on the agency's own system too?

For some document types, yes. A company's details show on the CAC public search once the CAC has processed the filing, and a NIN status can be checked directly. The guide for each document type links to its public check where one exists.
